The tracker is not the minutes
Meeting minutes record what that meeting decided. An action tracker is the list you still have the week after. WorkFormKit keeps those as different shapes, and mixing them up is how actions get rewritten instead of closed.
The meeting minutes tool stores actions as Action, Owner, Due date, and Status. Status is one of Not started, In progress, Complete, or Blocked. There is no ID column and no place for evidence. The minutes guide explains how to separate discussion, decisions, and actions in that record. Do that first when the meeting is the task in front of you.
The action item tracker is a blank Word file, Excel file, and printable PDF. It is not a browser tool. Its columns are ID, Action, Owner, Due date, Status, and Completion evidence. Status here is text you define; the file does not offer the four meeting statuses as a menu. Excel will not email the owner when Due date passes, and it will not mark a row complete because a file exists somewhere else.
Carry the same commitment forward
- During the meeting, capture the commitment in the minutes tool. On Track, each action needs a result, one owner, and a due date the owner has actually agreed. If the date was not agreed, leave Due date empty rather than inventing one. Export Excel if you want the meeting’s rows in a spreadsheet, or download a JSON backup from Review & export if you need to reopen this meeting in the same tool later.
- After the meeting, open the tracker workbook, not a fresh minutes document. Set Project / meeting to the series name, not only today’s title. Updated on is the day you are editing the tracker. Coordinator is the person who keeps the list, which may differ from the row owners. In Completion and escalation rules, write the close rule in one sentence, for example “Close a row only when Completion evidence names a result the owner can point to.”
- Add the new commitment as the next ID. If the meeting already called it “confirm fallback access”, keep that result. A useful action names an observable finish: “Confirm whether fallback access works and send the result to Alex.” “Follow up on testing” does not, because nobody can tell when it is finished.
- At the next meeting, paste into the minutes tool only if you need those open rows in that document. On Track, choose Paste rows on Action items. The dialog shows the required order: Action → Owner → Due date → Status. Copy those four columns from the tracker, not ID and not Completion evidence. Use YYYY-MM-DD for dates. Tick “First row is the matching column header” only when the first copied row really is that header.
- Choose Preview rows. Read the message. If the minutes table is still the untouched empty row, the preview says untouched empty rows will be replaced. If you have already typed an action, it says existing rows are kept and the paste is added after them. Choose Add these rows only after that check. Cancel adds nothing.
- When the work is finished, write the evidence in the tracker first. Then, if the minutes still show the action, set Status to Complete there. Do not do it the other way round: Complete in the minutes tool has nowhere to store the evidence, so the tracker would still look unfinished.
Common mistakes, and the correction
Fictional Northstar actions
Mistake: “Sam and Jordan to look at the sandbox” with no date, then a new sentence with the same meaning next week and a new ID.
Correction: A-01, “Confirm whether fallback access works and send the result to Alex.” Owner Sam Lee. Due date 2026-10-12. Status In progress. Evidence stays blank until there is a result. Next week the ID is still A-01. You change Status and Evidence; you do not mint A-07 for the same commitment.
Mistake: Pasting the tracker’s six columns into Action items.
Correction: The paste is rejected and nothing is added, because the row has too many columns. Rearrange to the four labels above and preview again.
Mistake: Status “Done” or “WIP”, or a date written 12/10/2026.
Correction: In the minutes tool the status must be Not started, In progress, Complete, or Blocked. Matching ignores capital letters, but it does not accept synonyms. Dates must be a real YYYY-MM-DD value or be left blank. The whole paste stops at the first bad cell.
Mistake: Marking Complete because the owner said “I’ll do it” in the meeting.
Correction: That sentence is a commitment, so the status is Not started or In progress. Complete requires evidence in the tracker, such as “Fallback confirmed in access request AR-204; result mailed 12 October.” The tool will still let you pick Complete with an empty story. The file is not the control. Your close rule is.
Edge cases when rows move
Two owners. Split the row. A-01 can be Sam’s access check and A-02 Jordan’s training agenda. Do not write both names in one Owner cell and hope the next meeting can tell who is late.
Blocked. Use Blocked in the minutes tool when the owner cannot proceed, and say why in the minutes notes or in the tracker’s evidence column as “Blocked: sandbox still down, no result to attach.” Blocked is not a softer way to say In progress.
An empty status cell on paste. A blank status becomes the first listed status, which is Not started. Preview the rows and fix any that should have stayed In progress before you add them.
A header that is almost right. The header must match each column’s label or its field key, in order, with the same number of cells. “Task, Person, Date, State” fails. Untick the header box only if you did not copy a header. If you leave it ticked over real data, that first action is treated as a header and rejected.
Fifty rows. Action items accepts at most 50 rows, including rows already in the table. A paste that would exceed 50 is refused in full; it does not fill the remaining slots. Duplicate and Add row stop at the same cap. If the tracker is longer, paste the open items that this meeting will review, not the archive. Closed tracker rows can stay in Excel.
The placeholder row. A new minutes document starts with one empty action. An untouched row, including the default status Not started and no text, is replaced by the paste. If you have typed anything, or changed Status off Not started, the paste keeps that row and appends. Delete a leftover empty row before you export, or the reading copy shows a blank action. Removing a row can be undone from the undo bar until you load another document, which clears the undo.
Quotes and line breaks inside a cell. Paste expects tab-separated cells. A quoted cell must be closed, and only a tab or a new line may follow the closing quote. If Excel’s copy is wider than 200 KB, the dialog refuses it. Split the copy. Nothing is added when the parse fails.
What the tracker will not do
- It will not remind owners, talk to a calendar, or update the minutes when the workbook changes. You copy the current rows yourself.
- It will not import the tracker workbook back into WorkFormKit. The minutes tool imports JSON saved from the minutes tool, not an action-tracker spreadsheet.
- It will not treat a status word as evidence. The evidence column is text. “Complete” without a reference is still just a word.
- It will not keep history of previous wording. If you need the old response, leave it in the cell or keep an older file. The download is not a versioned system.
- It will not share itself. The workbook sits wherever you save it. Do not put passwords or access tokens in Completion evidence; name the request ID instead.
Fictional close-out: on 12 October Sam confirms fallback access. Evidence becomes “Access request AR-204 restored; six cases still to run.” If the action text was only the access check, set the tracker status to Complete. If the text also required the six test results, leave it open or split the unfinished part into A-03. The 9 October minutes stay a record of that day; put the later status on the next meeting, not a rewritten past.
Put it into practice.
Keep the tracker in the blank workbook. Use the minutes tool when you need a record of a single meeting.
